Hadamard Doctoral School of Mathematics

EDMH supports Azat Miftakhov

The Ecole doctorale mathématique Hadamard protests agains the inprisonment of Azat Miftakhov since February 2019, and his recent sentence to 6 years in prison. 

Azat Miftakhov, a graduate student in mathematics at the Moscow State University, was arrested in February 2019 and detained since then; on 18 January 2021 he was sentenced to 6 years in a penal colony, under unfounded charges. The Memorial human rights organization considers that his condemnation is due to his political opinions.

Together with an international committee of mathematicians and several national mathematical societies
(American Mathematical Society, Société Mathématique de France, Unione Matematica Italiana,  Brazilian Mathematical Society) EDMH expresses its deep concern for Azat Miftakhov's situation, and urges the court to immediately release him and abandon the charges against him.
In this context, the EDMH awards Azat Miftakhov the title of Student of Honor of EDMH. Once he is released, EDMH is ready to welcome him to complete the preparation of his PhD.

Qualification process for Full Professorship

To apply for a full professorship in France in spring of year n, you must be on a qualifying list drawn up by the French National Council of Universities. Applications for qualification must be made in autumn of year n-1 at the latest.

Details of the procedure are available on the Galaxie website. Calendar note: in 2019, applications for qualification could be received from 5 September to 24 October. Applicants from French higher education institutes had to have defended their HDR by 17 December and sent their application to the CNU (French National Council of Universities) referees (external examiners) by 17 December, at 16PM (hour of Paris).

Sujets de thèse, admission et concours

A thesis project presents 4 faces: a doctoral student, one or more PhD supervisor, a research topic, and a scholarship for 3 years. The first step for a student is to find a PhD supervisor and a research topic, in a field that interests him/her.

  • A student wishing to undertake a PhD at EDMH should contact a potential supervisor (a professor or researcher with the “Habilitation à diriger les recherches”) whose research topics interest him/her. The supervisor may have already submitted a PhD subject on the ADUM portal, or he/she may construct a PhD project together with the student.
  • Here are a few ways to find a supervisor. For foreign students, it is recommended to complete their master's degree (M2) at Université Paris-Saclay or Institut Polytechnique de Paris, which allows them to easily meet potential supervisors. Master scholarships are offered, for example, by the Fondation Mathématique Jacques Hadamard (FMJH), the international program of Université Paris-Saclay, or by the Fondation de l'École Polytechnique.
  • A candidate can read the list of potential supervisors at EDMH, or the lists of members of local host laboratories, often classified by thematic teams. In case he/she is already a student at Université Paris-Saclay or Institut Polytechnique de Paris, he can contact a professor there (M2 supervisor, M2 teacher, tutor, etc.), or the local scientific representative of EDMH.
  • Thesis supervisors have the possibility to propose a thesis topic on the ADUM portal, preferably at least one month before the application deadline. The proposed topics will then be posted on a dedicated website. It is possible to target the proposed topic towards a specific candidate (See below the section "For supervisors").
  • A student interested in a proposed topic must contact the supervisor before applying online (he/she must obtain a letter of support from the supervisor for his/her application file). For each PhD topic, the supervisor can support at most one candidate. 
  • The submission of the PhD topic on ADUM by the supervisor is mandatory in order to apply for a scholarship from the Institut Polytechnique de Paris or its component institutions.

An application without the support of the PhD advisor will not be considered by the committee of EDMH.

 

The recruitment of doctoral students by the EDMH is split into two main procedures: the competitive mode, which concerns the students applying for doctoral contracts directly managed by the EDMH; they should follow a specific calendar (see below). The noncompetitive mode, which concerns candidates who have already obtained, or hope to obtain, external funding, for which the EDMH does not intervene; these applications can be made throughout the year.

The financing section below provides examples of possible scholarships.

For these two modes, the construction of the PhD subject, and the submission of the application, can be done in two ways:

  • Application on a proposed subject: the future PhD supervisor proposes a project, which is visible by the students on a dedicated EDMH website; if a project interests a student, he/she must contact the supervisor, to make sure that the subject is still available, and discuss with the supervisor. Once an agreement has been reached, the candidate should apply on the ADUM application portal, by clicking on "Application on a proposed subject" and selecting the corresponding subject.
    All applications to scholarships managed by the IP-Paris must be made through this procedure.
  • Spontaneous application: the doctoral student directly contacts a supervisor, to discuss a possible PhD project. The detailed project is then elaborated together. The candidate can then apply on the ADUM application portal by clicking on "Unsolicited application".  The project should be contained in his/her application file.
  • PhD trough  Validation of Acquired Experience (VAE)
    French universities offer the possibility of obtaining a PhD through the VAE, when the research work has been accomplished outside of an academic institution. See the website dedicated to the VAE at UPSaclay or that of the Institut Polytechnique de Paris for any information concerning a VAE thesis.
    An application to start a PhD through the VAE procedure will only be considered if it is sponsored by a senior researcher member of EDMH, who will then act as the VAE referent in case the application has been accepted.

It concerns all doctoral projects whose funding is not a doctoral contract awarded by EDMH. The candidate should contact the EDMH local scientific representative of his/her institution, and submit his/her application file on the ADUM application server.  The EDMH representative will examine the application. If it is judged eligible, he/she will conduct an interview of approximately 15-20 minutes with the candidate (possibly by videoconference), and will transmit an opinion to the EDMH steering committee, which will pronounce the acceptance notice.

Noncompetitive applications may be submitted throughout the year.

Note: the EDMH only gives an opinion, based on the scientific evaluation of the project. The full PhD registration will only be completed after obtaining the requested funding, obtaining the master's degree, the agreement of the defense security officer in the case of "sensitive" research topics, obtaining a visa if necessary.

This recruitment concerns candidates to PhD scholarships, whose management has been entrusted to the EDMH by the funding organizations: universities (Université Paris-Saclay, Institut Polytechnique de Paris or their component institutions), Labex Mathématiques Hadamard, grants from foreign governments requiring the opinion of EDMH (e.g. grants from the Chinese Scientific Council awarded to UPSaclay or IP-Paris institutions).

  • The supervisors of the IP-Paris must first submit their proposed PhD topics on ADUM. The candidates can consult the proposed subjects and contact the supervisors.
  • The supervisors of UPSaclay can submit their subject on ADUM, in order to find a candidate. Applications for UDOPIA and ADI funding from UPSaclay (for joint PhDs with foreign universities) must also proceed through a preliminary upload of PhD subjects on ADUM.

After agreeing on a subject with his/her future supervisor, the doctoral candidate must submit his/her application file on the ADUM application portal before the deadline of the corresponding competition. The doctoral student will also have to communicate his or her file to the EDMH representative of the future host laboratory, who will send an opinion to the selection committee. The application file must include a letter of support from the future supervisor.

The selection committee of EDMH provide a ranking of the applicans for the various types of scholarships. These lists must then be validated by the funding organizations.

These selection committee is composed of the director and deputy directors of EDMH, with the following invitees:

- a representative of Master of Mathematics and Applications of UPSaclay and IP-Paris,

- representatives of the thematic programs of the Labex Mathématiques Hadamard (for PhD topics at the interface with other sciences)

- possible representatives of the host laboratories.

 Notice: PhD scholarships are conditioned to obtaining the Master's degree, possibly the agreement of the Defense Security Officer (for sensitive PhD topics), and to the granting of a visa for non-European students.

All PhD applications at the EDMH must be made using the ADUM application portal (the candidate must first create an account on the application portal)

Two application methods are possible:

  • PhD subject pre-deposited by the supervisor, validated by the laboratories and by EDMH, and posted online on the dedicated website. The candidate will then be able to apply to the PhD project directly on the web site. The candidate also has the possibility to search for a PhD project from the ADUM application page, by clicking on "Apply on a proposed subject". Notice: the laboratories of University Paris-Saclay are grouped in the tab "Université Paris-Saclay GS Mathematiques".
  • The supervisor has the possibility to target his/her PhD subject towards a specific candidate, by entering the candidate's e-mail address. This candidate will then find the project in his ADUM application interface.
    Attention: the candidate’s email address indicated by the supervisor must be identical to the one used by the candidate in his ADUM page.  This student will be the only one who can apply for this project.
    Attention: all PhD subjects at IP-Paris must be submitted on ADUM by the supervisors.
     
  • Project submitted by the candidate him/herself: the candidate must open the ADUM application interface and click on "Unsolicited application". The thesis project will have been discussed with the supervisor beforehand.
     

When applying online, a certain amount of information must be entered. In the "Type of funding" section, indicate the funding you have already obtained, if any, or the list of all the fundings you plan to apply for. In the "Funding Status" section, select "acquired" or "in progress". If the name of your future supervisor does not appear in the drop-down list, please write to the EDMH administrative director to have it added in ADUM.

The main document to attach (in the "motivation and justification" section) is a single pdf file, including

  • Cover page of the pdf file: indicate your name, the title of the PhD project, and the list of all the fundings to which you are applying.
  • Description of the doctoral project: title of the project in French and in English, summary of the project (15 lines) in French and in English, type of funding requested (100% or co-financing), research unit(s) hosting the project, PhD supervisor(s), Doctoral School of affiliation (presumably EDMH), and Institution of registration; then 5 pages maximum, describing the context, research perspectives and work plan.
  • Candidate's CV; includes last name, first name, nationality, date of birth, address, email address, telephone number, and descriptions and names of supervisors of master's thesis or research internships.
  • Master's grades (M1 and M2) available (send the latest M2 grades as soon as possible).
  • Letter of motivation, summarizing the candidate’s academic background, and the reasons that led him/her to commit to this PhD project.
  • Letters of recommendation: the prospective supervisor(s) will provide a detailed and motivated letter of support to the candidate, which he/she will include in his/her file.  A briefly motivated opinion of the laboratory director can be provided in the form of a letter to be inserted in the application file, or only by clicking on ADUM after the submission of the file.
  • The applicant has the possibility, in his application module, to designate 2 referees, by clicking on "Submission of letters of recommendation by my referees" and by indicating the email addresses of these referees. These referees will then receive an invitation from the EDMH to write a letter of support and to post it on a dedicated site. Their letters will then be readable by the EDMH, but not by the applicant.

Topics at the interface with other sciences:

  • if you are applying for a Labex Mathematique Hadamard (LMH) grant and your project is in line with one of the 4 thematic axes of the LMH, please add, in the description of the PhD project, the LMH interdisciplinary theme for which you are applying, and a paragraph underlining the interdisciplinary aspect of the project; ask your PhD supervisor to underline the interdisciplinary aspect of the project in his or her letter of recommendation

For an international joint PhD, indicate in the description of the doctoral project the calendar of stays in each institution.

- There is no need to fill in the ADUM sections "Letter of motivation" and "Additional information", as their content is included in the pdf file above. For any question or problem, please contact the administrative manager of the EDMH.

 

Criteria for the selection of candidates

The evaluation criteria for applications, whether in competitive or non-competitive mode, are as follows

  • quality of the candidate's academic background (Master degree results or equivalent diplomas, research skills based on internships or research theses, recommendations from supervisors)
  • quality of the proposed subject (e.g. originality, feasibility), suitability of the supervisor to the subject
  • suitability of the candidate's training to the proposed PhD subject
  • quality of the presentation during the audition (competitive process) or the interview (noncompetitive process); in particular, the candidate's understanding of the PhD project will be evaluated
  • Adequacy of the proposed funding (for the "noncompetitive" mode)
  • During the interviews, whether in competitive or noncompetitive mode, students will have to briefly introduce themselves (in order to justify their ability to address the PhD subject), briefly present the PhD subject, its originality and the scientific approach to be used, as well as the funding they are applying for, and briefly explain their professional project after their graduation.

Deadline for applying to scholarships 2024

 

For most of the scholarships managed by the EDMH, the deadline for the submission of applications is Thursday, April 22, 2024 at 23:59 (Paris time). The details of the scholarships are given below. Most applications are made through the ADUM application portal.

  • Call for UPSaclay and FMJH funding:

- early April: recommended date for submitting thesis topics on ADUM (optional)
- April 22 midnight: deadline for applications on ADUM, with advice from thesis directors

These theses are co-directed by an EDMH supervisor and a supervisor from a provincial institution.
The thesis will be co-financed by the EU (2/3), and the remaining third by the FMJH, or by the partner university in the provinces.
- December 19 - February 14: Applications from students (who have spent at most 1 year in France in the last 3 years).

- March 8 - April 28: Successful candidates must find a pair of co-supervisors, put together a thesis proposal, and obtain letters from DTs, lab directors and EDs.

The aim is to fund theses on the theme of AI and the quantification of uncertainties, at UPSaclay only
Thesis topics had to be submitted on ADUM by October 24

Candidates must have spent less than 12 months in France during the last 3 years

A non-exhaustive list of funding sources is given below. For most of these cases, the ranking is not performed by the EDMH, but by the funding organization. As this list changes regularly, candidates and PhD supervisors are invited to keep an eye on the application deadlines for these funds.

When submitting a PhD subject on ADUM, a supervisor must indicate the possible funding in the relevan box (if the funding type does not appear in the drop-down menu, indicate "Other funding").

  • MathPhdinFrance program. The FMJH is a partner in the MathPhDInFrance program, co-financed by the European "Marie Sklodowska-Curie Co-funding of Regional, National and International Programme". This program offers doctoral grants for co-tutored theses between a laboratory in the Paris region and one in another. Two calls for applications are planned for 2023 and 2024, for theses starting the following year.
  • foreign scholarships, including those of the CSC (China Scholarship Council), which has signed agreements with the Université Paris-Saclay and the Institut Polytechnique de Paris to fund a certain number of doctoral scholarships. These scholarships are reserved for Chinese students.

The detailed registration procedure for EDMH PhD students in the ADUM software is as follows:


1. Create a personal space in ADUM of Paris-Saclay University, if not already done when you applied

2. Create or update your profile: Enter or update the files containing your complete CV (PDF) and photo (jpg). The obligatory fields are those marked with a red star. For everything relating to your PhD proposal, however, simply put: ‘see PDF file for the PhD proposal’. Many fields (including parents' socio-economic category, type of degree enabling you to do a PhD, funding source, etc.) will used for obligatory ministerial data-collection campaigns. For this reason, please fill them in carefully.

You must also enter your:

  • surname, first name, sex, date and place of birth, nationality
  • if a foreign national: how long your residence permit is valid for
  • phone number, email address, home and work address (remember to update them)
  • PhD year
  • photo (jpg) and CV (PDF) if you accidentally forgot earlier
  • EDMH cluster (see drop-down menu. This is essential for management per doctoral school):

In the case of defense before end of december: There is no need to re-register (which avoids paying the CVEC and filling in documents), but the doctoral status ends on the day of the defense.The EDMH draws attention to the fact that doctoral status throughout the academic year has several advantages, especially for foreigners, in terms of housing, visas, social security, etc.It is therefore possible to re-register (of course by paying the CVEC, but without paying registration fees). Formation doctorale et suivi

Doctoral training

 

This section describes the doctoral training and follow-up operations for doctoral students other than those provided by the thesis directors or the research supervisors' teams.

 
In accordance with the http://www.cnrs.fr/insmi/spip.php?article1757 recommendation of the CNRS Scientific Council, the EDMH asks its doctoral students not to submit articles to journals that require payment of a publication fee ("APC") in order for the article to be "Gold Open Access". It is also important not to exceed the maximum length allowed by certain journals or you will be asked to pay for the excess. The EDMH will not pay any publication fees.
 
 

Trainings

Training courses on catalog

From your ADUM account, you have access to the catalog of doctoral training courses, essentially transversal, offered by your institution (UP Saclay or IP Paris or PSL) and by the EDMH. This catalog is evolving. You can also ask edmh@fondation-hadamard.fr to add to the catalog training courses that may be of interest to other doctoral students (e.g. seminar)
 
Non-catalog trainings
 
If you wish to participate in a training course that is not in the catalog, you can register it in your personal account as a "non-catalogue training course" by attaching a proof of participation (see EDMH model available). The assessment in number of days/hours/points will be validated by the EDMH steering committee. The scale below will help you in counting your points.
 
Each training course listed in the catalog or outside the catalog must specify
  • The number of hours/points of training
  • The category of the training
  • The type of skills involved in the training, among the 6 "skill blocks" proposed. These skills, completed as they are acquired, will be grouped together in the "skills portfolio" of each doctoral student. This portfolio will report on the skills acquired during the thesis (optional but recommended)
  • Training objectives (optional but recommended)

Counting of points

If some trainings have not been converted into points (this is the case for trainings that have been registered before September 2021), you can easily do the conversion yourself based on the table. Monitoring

The institution representatives are the primary contacts for the scientific and pedagogical follow-up of EDMH doctoral students. They carry out, in addition to the thesis directors, the following missions
 
 
  • information,
  • orientation,
  • advice for training (disciplinary or complementary),
  • follow-up of the training plan/portfolio of the candidate,
  • support and incentives.

 

Each doctoral student will be monitored throughout his or her thesis by an “Comité de Suivi Individuel” (CSI).

Composition of the CSI: each CSI must include at least one "specialist" in the doctoral student's research field (from outside the supervising team) and one "non-specialist" from outside the research field. The composition of the CSI can be proposed by the doctoral student or by the doctoral school. EDMH recommends that at least one member of the CSI should be an ED official (deputy director or establishment representative). The composition of the CSI must be entered on ADUM in the 1st year. One CSI member must be declared as the referent; by default, this will be an EDMH representative.

CSI report: interviews with the CSI are confidential and give rise to a report which is sent to the doctoral student and thesis supervisor. Each year, the CSI report containing a favorable opinion is required for re-registration. This report must be included in the re-registration file.

In addition to the follow-up interviews detailed below, doctoral students can contact EDMH representatives (deputy director of the cluster, establishment representative, director) at any time, should they have any questions or problems.

Specific follow-up actions are detailed below, and include an annual meeting with the CSI. These meetings take place in the absence of the thesis director. The CSI may also ask the thesis supervisor for information on thesis progress.

 

Before their re-registration in 2nd year, between June and October, all doctoral students will have an interview (20-30 minutes) with their CSI. During this interview, the doctoral student will present the progress of his or her research since the start of the thesis, and the prospects for the following year. In advance of the interview, they will provide their CSI with a written activity report, as well as a list of training courses attended. During the interview, he/she can also mention any problems that may have arisen. The CSI will assess the doctoral student's situation after 1 year of thesis and can advise him/her on the progress of his/her thesis.

Towards the end of the 2nd year of their thesis (May-June), doctoral students are invited to present their work to their laboratory or research team during a presentation session. In addition to disseminating doctoral students' work internally, this presentation will enable them to check on the progress of their thesis work, and to give advice on the quality of their presentation. These sessions are followed by an interview with the CSI. During this interview, the progress of the thesis, the prospects for the end of the thesis, and even for the post-thesis period, will be discussed, as well as the list of training courses taken. A report will also be drawn up.

Between January and April of their third year, the CSI will meet with doctoral students to discuss thesis completion procedures (including content and writing), current applications and career prospects. In the event of a request for an extension beyond December 31, the CSI must give a favorable opinion before the doctoral student can re-enroll in 4th year. A similar interview will then take place during the 4th year.

Annual opening conference day

A doctoral students' day, open to all EDMH doctoral students, is organized in October of each year, usually at IHES. Participation is strongly recommended, especially for first-year doctoral students, and a buffet is offered.
The presentations are devoted to the EDMH curriculum (including the rights and duties of the doctoral student) and to scientific representations of the teams of the EDMH host laboratories, for a better knowledge of the different partners and the cohesion of the EDMH.
 

 

Soutenance

We recommend three months between starting the procedure (date when the final version of the PhD thesis is available) and the defense date. This includes the time required (which cannot be shortened) by registration institutions between the arrival of PhD assessment reports and the defense date, the time needed for EDMH decisions, and the usual minimum 2-month period given to referees (external examiners) to read, check, and assess the thesis and write their report. NB: the time required for the various stages of this process may vary according to the registration institution and must be strictly complied with.

After discussing the matter with their institution's EDMH representative, it may be worth PhD supervisors contacting the referees (external examiners) and members for the PhD examining committee before the official appointments and deadlines to schedule a defense date. It is especially difficult to change the dates and composition of PhD examining committees near the defense deadline (the first half of December) for CNU (French National Universities Council)-qualification procedures (which can be consulted on the French Ministry for Higher Education and Research's Galaxie website or the Opération postes website).

For members of PhD examining committees, please use the wording: ‘Subject to favorable assessment by the referees (external examiners) and agreement of the executive committees of the Hadamard Doctoral School of Mathematics and registration institution’.

The names of referees (external examiners) and PhD examining committee members are entered into the ADUM software by PhD students and approved in ADUM by the relevant deputy director. The route for obtaining signatures depends on each institution; please contact the relevant EDMH administrative contact. After the forms have been signed, the EDMH will send them to the relevant departments at the registration institution's doctoral schools.

Following ministerial recommendations on the use of French, PhD theses must contain a sufficiently long section (at least 10-20 pages) written in French. For example:

  •     a summary chapter or
  •     an introduction to the PhD, as well as placing the research in context and presenting its scope.

Electronic deposit of PhD theses, requests to print copies for examining committees, managing PhD defense applications

PhD students must contact their registration institution's administrative contact for practical details (including deadlines) about the following:

  •     electronic deposit of PhD theses via the ADUM software (interfaced with the STAR software), in accordance with procedures implemented by the University of Paris-Saclay's doctoral school. There are two steps: 1) before the defense, which is a condition for authorizing the defense; 2) after the defense, which is a condition for PhD degree certificates to be issued by France's national printing works (imprimerie nationale). Do not delay, unless the examining committee asks for major modifications.
  •     making appointments with the registration institution's library or archive department for the first legal deposit of your PhD thesis.
  •     requests (and number authorized) to print copies of your PhD thesis for the examining committee
  •     collecting your defense application, which is given to the examining committee on the day of your PhD defense
  •     returning your completed defense application to the relevant departments at your registration institution
  •     printing copies of your PhD thesis after your defense
  •     collecting your degree certificate

Most of these rules are enacted by the the article 18 of the Decree dated 25 May 2016 on doctoral training

After discussing the matter with the EDMH scientific representative at the PhD student's host laboratory, the PhD supervisor (or the PhD student with the agreement of their supervisor) will suggest between two and four names for referees (external examiners) to the relevant deputy director. These suggestions are made by email and require prior agreement from two of them. The appointments are made by the EDMH’s executive committee, after any necessary checks and consultations have been carried out.

The minimum and usual number of appointed reporters will be two, with the possibility of adding a third if necessary (industrial, multidisciplinary thesis, etc.). External examiners must hold an HDR or equivalent. Unless the disciplinary field or the content of the work does not allow it, they must be external to the EDMH and to the defending institution (Université de Paris-Saclay, Institut Polytechnique de Paris or Université Paris Sciences et Lettres), and external to the doctoral project. Unless it proves exceptionally difficult to find a competent examiner from outside the EDMH's partner institutions to assess the PhD thesis, the EDMH's prefers examining committees to contain an internal referee (examiner) as well as the two official examiners. They will not have co-published either with the PhD or with the supervising team during the 5 years preceding the defense.
An external examiner may be a researcher or emeritus.

After the deputy director has given its agreement, PhD students must enter the examiners' names and addresses into ADUM. PhD students or their supervisors send the thesis to the examiners, indicating the address and expected date of return for their report. An official letter from the registration institution will be sent to the examiners (you must enter their names and addresses into ADUM as soon as possible after receiving the EDMH's agreement), but we recommend you to suggest that they do not wait for this letter before starting their assessment. Unless their report has not yet arrived, it is advisable to contact the examiners one week before the registration institution's deadline for receiving reports.

For theses at University Paris Saclay, the external examiners receive the information allowing them to submit their report on the ADUM platform.
Reports must be signed and can be sent by email (postal mail is not required)

For each of the defense institutions, here is the deadline for returning the reports before the defense date, the useful links and the contact address to which the signed reports should be officially sent by e-mail. An electronic copy of the reports must also be sent by the examiners to the relevant deputy director of the EDMH.

After discussing the matter with the EDMH scientific representative at the PhD student's host laboratory, PhD supervisors (or PhD students with the agreement of their supervisors) will email or use the ADUM software to send suggestions for an examining committee to the relevant deputy director. The appointments are made by the EDMH’s executive committee, after any necessary checks and consultations have been carried out.

The deadlines for filling in the forms appointing examining committee members and authorizing PhD defenses are the same as for returning reports (see previous sub-section). Nevertheless, you are advised to fill them in well in advance – using the following wording when contacting prospective examining committee members: ‘Subject to required authorization from the EDMH’ – to ascertain whether they are available and agree to be part of the examining committee.

 

Rules for the composition of EDMH PhD examining committees:

Most of these rules are enacted by the the article 18 of the Decree dated 25 May 2016 on doctoral training

  • PhD examining committees comprise between 4 and 8 members, except in specific cases subject to agreement from the EDMH’s executive committee (industrial, cotutelle, interdisciplinary theses, etc.), for which the upper limit is 6 members.
  • Except in special circumstances, the committee must contain at least one member from the registration and defense institution apart from the PhD supervisor.
  • It is highly recommended (but not required) for at least one of the external examiners to be a member of the examining committee.
  • The President of the jury is co-opted from among the members of the jury. He must be a professor or equivalent in activity

  • At least half of its members must be from outside the EDMH, the institution awarding the degree (Université Paris-Saclay or Institut Polytechnique de Paris or Université Paris Sciences et Lettres) and the doctoral project.

  • At least half of its members must be professors or equivalent.

  • It is strongly recommended that the jury include at least 1 woman.

  • Some members of the jury may be professors or emeritus researchers, in which case they do not fall within the 50% quota of professors or equivalent.

The EDMH is particularly concerned about the future of its PhD students. The training offered and the various follow-up operations have the main purpose of preparing their professional integration, whatever the opportunities they envisage.At the end of a thesis at the EDMH, career prospects, in France or abroad, lead doctors to insert themselves

PhD students undertake by signing the thesis charter to provide the EDMH, via the ADUM software, their becoming during the 5 years following their defense.

 

Temporary Lecturer and Research Assistant (ATER) and Post-Doc Applications

NB: if you want to do a post-doc in the academic year following your PhD (whether starting in October if you defend your PhD by September, or starting in January or February if you defend it in December), you sometimes have to apply well in advance. This is often the case for the USA (typically apply by November of the third year of your PhD) and for several foundations, including the FMSP and FMJH.

Applications for temporary lecturer and research assistant (ATER) posts are usually made in May, but this depends on each university. Enquire from January onwards.

Jobs

For job offers in companies and start-ups, it is particularly recommended to consult:

PhD students who also hold the 'agrégation' and who want a teaching post in a lycée (high school), must take part in the Académie de Versailles mouvement intra-academique (annual application procedure for teaching posts within a given school district) (or of the school district for your teaching post/teaching assistantship). If applying for a first appointment, they must also take part in the mouvement inter-academique (annual application procedure for teaching posts between school districts). PhD students can also apply for another deferral to carry out an ATER, post-doc, etc.

The procedure starts in November of the third year of a PhD:

  • See information on the Official Journal of the French State Education System, website, especially the special issue explaining the procedure to follow (which may change from year to year) published at that time.
  • Obtain your NUMEN. If you do not have a NUMEN, you must ring the Rectorat de Versailles on 01 30 83 44 44.
  • Log in to the SIAM website and follow the procedure. In principle, your login name is the first letter of your first name followed by your family name, all written as one word and in lower case letters. If you have namesakes, add a number (1, 2, 3, etc.). The password is your NUMEN. Given the low number of initial points, some school districts will be hard to obtain.

The application procedure for posts in preparatory classes in Grandes Écoles (CPGE) is not via SIAM (even though you have to undertake this procedure if you do not obtain a CPGE post immediately and even though information about posts may be available via SIAM). You should instead write to the DGRH/B2 and contact the schools inspectorate in November: consult the official journal. It may be worth consulting teaching union information about this matter.

The second phase of the application procedure for 'agrégation' holders in is March-April. You must take part in the mouvement intra-academique. You must apply for a TZR (substitute teacher) post if you want a temporary assignment (e.g. to do an ATER or post-doc; the exact terms and conditions for temporary assignments depend on the job). To avoid being struck off the French state education system, you must follow the temporary assignments procedure and contact your education authority before leaving to do an ATER job or post-doc. The temporary assignment procedure can take a long time and you should not wait for confirmation that you have obtained it. It may also be worth consulting teaching union information about this matter.

 

To be eligible to apply in the spring of year n for a position as Maître de conférence in France, you must be on a Qualification List drawn up by the Conseil National des Universités (CNU). Applications for qualification must be submitted no later than autumn of year n-1.

The 5-month timetable (from September to January) comprises two phases:

2023 calendar:

  1. a period for declaring candidacies, from Thursday, September 21 2023 - 10 a.m. to Friday, November 10, 2023 - 4 p.m. (Paris time) ;
  2. a period for submitting mandatory and additional documents making up the file:

          - from Thursday, September 21 to Friday, December 15, 2023 (4pm Paris time) for candidates who have already graduated, or who will have defended their thesis or HDR no later than November 23, 2023;

          - from Thursday September 21, 2023 to Friday January 19, 2024 (4 pm, Paris time) for candidates who will be defending their thesis or HDR between November 24, 2023 and January 12, 2024.

Please note: for recently defended theses, the attestation of successful completion of the doctorate is required as one of the requested documents. This attestation is not obtained immediately after the defense; it requires a second submission of the thesis on ADUM, which can take several days. It is therefore advisable not to wait until the last day of the second phase to defend your thesis, and to find out how long it will take to obtain the required documents.

This is a fantastic site, the envy of other disciplines (except computer science, which is also concerned), for managing applications for lecturer positions, and we strongly recommend that you create a Mars file there (in addition to your own website).
